On your computer

A small program you install on purpose. It does not hide.

If invoices and scans already live on one computer, you can install a folder helper there. You name a folder. Files you drop in that folder are copied into your portal scan queue. That is the whole job.

What it is

A small program that runs on the computer where you already do the books. Some people run it as an ordinary program. Some people run it inside a small virtual machine on that same computer. Either way, you set it up. You can see it. You can stop it.

It is optional. Plenty of clients will only use the portal upload button. The program is for people who already have a “drop scans here” folder and would rather not email the pile.

A table of invoices, receipts, and a wooden inbox tray.
You choose the folder. Nothing else on the machine is in scope.

What it copies, and what it will not touch

Please read this before you install anything. Consent is required. The program will refuse to run until you agree in the installer.

It does

  • Watch one folder you name, plus subfolders inside it if you say so.
  • Copy invoice and scan files of the types you allow: PDF, PNG, JPG, JPEG, HEIC, CSV, XLSX, and TIF.
  • Send those copies into your portal scan queue.
  • Write a plain log you can open and read.
  • Stop when you quit it or uninstall it.

It does not

  • Run in secret, hide its window, or pretend to be another program.
  • Read your email, passwords, or keystrokes.
  • Watch folders you did not name.
  • Let anyone take over your screen or remote-control the computer.
  • Install extra software you did not see in the installer.
  • Turn a camera or microphone on.

How you install it

Your bookkeeper will sit with you on the phone and walk the installer through, line by line. In short:

  1. Read the consent file. It says the same things as this page.
  2. Run the installer. Type I AGREE only if you mean it.
  3. Confirm the folder it should watch. Start with an empty folder if you like.
  4. Leave a test PDF in that folder. It should show up in the portal under Scan queue.

There is no silent download from this website. If a file ever arrives without a conversation with the firm, do not run it. Call us.

Question Answer
Do I have to install this? No. The portal upload page works on its own.
Can I see what it sent? Yes. The portal Scan queue lists every file. The program also writes a local log.
Can I turn it off? Yes. Quit the program, or uninstall. Removing consent stops it from starting again.
Does the firm get the rest of my computer? No. One folder, file types you allow, copies into the portal. That is the list.
Who can I ask if this feels unclear? Your bookkeeper, or write us.

If you want help setting the folder up, we will sit on the phone with you.
